About The Role We are seeking an experienced and proactive Executive Assistant to support two Vice Presidents and one Senior Director within the Platform Services and Emerging Technologies Organization. This role requires a highly organized individual with the ability to manage complex calendars, coordinate international travel, and handle multiple priorities with a sense of urgency and professionalism. The ideal candidate will be comfortable working in a fast-paced, dynamic environment, demonstrating excellent interpersonal skills and the initiative to anticipate needs before they arise. Familiarity with AI tools and experience working with developers and engineers is a plus. This position offers a hybrid work arrangement based in the San Francisco Bay Area or remote options within the US and Canada, reporting directly to the VP of Platform Strategy and Technology Partnerships. Qualifications
- 6+ years of experience supporting senior executives in a fast-paced, multinational environment
- Exceptional time management, organizational, and multitasking skills
- Excellent interpersonal and communication skills
- Proactive approach with strong initiative
- High attention to detail
- Proficiency in Microsoft Office Suite, including SharePoint, PowerPoint, Teams, OneNote, Word, and Excel
- Experience managing heavy calendars across multiple time zones
- Experience planning and coordinating international travel, including visas, transportation, accommodations, and expense reporting
- Project and event management experience
Responsibilities
- Manage complex and dynamic calendars for busy executives across multiple US time zones, ensuring optimal scheduling and prioritization
- Evaluate and align calendar priorities with executive workload, proactively resolving conflicts and adjusting schedules as needed
- Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visa requirements
- Prepare briefing materials and ensure executives are well-informed for upcoming meetings and external events
- Act as the first point of contact for external stakeholders, partners, vendors, and internal teams
- Support project management activities and coordinate team offsite meetings and events
- Handle last-minute scheduling changes, rescheduling, and problem-solving with urgency and professionalism
- Track and initiate purchase orders, ensuring compliance with procurement policies and budget guidelines
- Assist with miscellaneous projects and administrative tasks as assigned, demonstrating flexibility and initiative
